  1. From 2009 to 2011 mirjam baumberger wrote a great blog, the "Fridays' Swyx Tip". Every Friday she posted a tip regarding the usage of SwyxWare and connected tools and devices. As the old forum is offline, this article series will be restored here again over the time. Please note that some information in this article series might not be valid anymore with current SwyxWare versions. This blog article was originally posted on 13.08.2010 00:25 Dear Swyx Users Many Swyx customers are using customized SwyxIt! clients. Web-integration, Queue Visualization or even trouble ticket lookup are integrated in the SwyxIt! soft phone and boost the Swyx users productivity. But did you know that since SwyxWare Version 6.20 one can set a system default skin, so all users are presented with that particular custom SwyxIt! skin? Some organization have two or three different skins which can be utilized by their users. Below you find instructions on how to delete the not wanted skins, restricting users to only choose from these custom skins. All SwyxWare information is written in to a database and the administrator can access all files via the "IpPBX File Explorer" program. It is also in here, where one can delete not needed skins from the database. The "IpPBX File Explorer" program can be found on the Swyx DVD in option "Tools". For security reason, Swyx has restricted access to all System Default files and therefore the Template skins cannot be removed without a small tweak. How to get access to the System default files: delete system template skins 1. Edit file IpPbxFileExplorer.exe.config in C:\Program Files\IpPbxFileExplorer and change the value for EnableSystemFileAccessMenu to True. 2. Open the program "IpPbx File Explorer" and connect to the Swyx Server 3. In Menu Edit (Tick) "Edit Enable system file access" 4. Now you can select the Skins which are not longer needed and remove and delete them from the database. IMPORTANT: Always take extra caution when enabling access to all system files! Have a good weekend and happy Swyxing... Regards Mirjam @ IT Net World Ltd, NZ & AUS SWYX Distributor http://www.itnetworld.co.nz/

This blog article was originally posted on 01.04.2010 00:36 Dear Swyx Users Although it is not Friday today, here my weekly Friday Tip :-) Happy Easter egg hunting... SwyxWare includes a powerful fax engine. Users can be enabled to send and receive faxes right from their desktop. But did you know that one can also create and send serial faxes? This way you only need to compose one document for communicating to an extensive list of interested clients and customers, saving you time and money! Each fax is personalized so it appears to been written specifically to each recipient. And with Swyx Fax logging function, you have full control on which faxes could not be sent successfully. To perform a Swyx Serial fax, one has to create the fax message as a Word document and enter "defined serial print fields" instead of "address fields". Instructions on how to create a mail merge letter in MS Word can be found here. This simple function allows you to create and send serial faxes. Every serial fax has to begin with the command @@FAXMERGE@@ in a separate line, to indicate the beginning of a serial fax document to SwyxFax Server. Additional commands which can be used are listed below: Additional help can be found in the Swyx Fax Client help document, chapter "1.7 Sending Serial Letters via Fax". With SwyxWare CTI all incoming and outgoing phone calls can be handled by the SwyxIt! soft phone as well as with the Desk Phones. Allowing you to switch between these communications tools at any time so that you are always using the phone that suits you best. 8. This blog article was originally posted on 04.02.2010 23:01 Dear Swyx Users Swyx's "Click2Dial" from any application is a well appreciated feature, all of you are familiar with. Highlight the number and press "F11" on your keyboard. But computer telephony integration (CTI) goes far beyond just doing phone calls from your desktop. CTI is all about bridging the gap between the phone system and the business application. Let's look at a very popular CRM solution today, MS CRM Dynamics. CTI for MS-CRM integration software is a flexible and user-friendly interface between Swyx and CRM Microsoft Dynamics application. MS CRM integration software enables you to provide superior customer service by connecting your phone system with the MS CRM application. Actions can be defined such as create new case, create new call note or simply open the account page depending on the number called, or line used to initiate the call. What happens with an incoming call? The application automatically displays record's information (prospect, account & contact) of the caller, and allows automatic creation of a new activity associated to a number if it is still missing in MS-CRM. It is even possible to pop- up information on customized entities. How to do an outbound call? You can click the Dial button in your MS CRM application or you can use the F11 function of Swyx. This gives you the possibility to directly reach the correspondent through the MS-CRM interface, or through the CTI for MS-CRM Integration search function. CTI for MS-CRM Integration allows you to create your custom actions. So, it is possible to add buttons and entries in context menus that allow you, for example, to localize a map on Google Maps or to call via Skype. An introduction video on how to install and configure the CTI for MS CRM application can be found here: Note, there is also a TAPI version available of this solution, allowing similar functionality with other phone systems. This blog article was originally posted on 29.01.2010 06:03 Dear Swyx Users I’m sure many of you are familiar with Swyx’s powerful Conference Manager. These Conference calls are not limited to own employees, one can invite partners and customers to join whenever appropriate. But did you know that one can also invite muted participants in to a conference call ? Muted participants are participants who can listen to the conference call but not speak (ListenOnly). How to configure: In SwyxWare Administration you set up a conference room with the internal number '600'. With the help of the Graphical Script Editor you create a script that accepts calls to the number 600 and requests entry of a PIN. Depending on the entered pin, the call is branched: Callers who enter the sequence 1234 are forwarded directly into the conference (block 'Deliver'; to number '600'); callers who enter the sequence 6789 are also forwarded into the conference, but as listeners only. This functionality is implemented through an addition to the number of the conference room, the character sequence '#OWC'. Please note that the complete string of digits (<number of conference room>#OWC) must be dialed as a block number. Have a good weekend and happy Swyxing... Regards Mirjam @ IT Net World Ltd, NZ & AUS SWYX Distributor http://www.itnetworld.co.nz/
  15. Hi, I took the liberty to put all this into a complete script and wrote a small blog article about it. You can find it here: #12: Rotating call distribution to engineers Please feel free to ask any follow up questions.
  16. VBScript Inspired by a question in the forum I spent a little bit more time not just giving a few hints as answer in the forum, but instead made a complete call routing script from it. Task: an incoming call should be provided to 4 different engineers, while in week 1 engineer 1 will get the call, in week 2 engineer 2 will get the call, a.s.o. In the following I will describe the my approach solving this problem and also how to use the resulting call routing scrpt. VBscript provides a function DatePart which can be used to evaluate the current week of the year. With that number it should be possible to identify a responsible engineer. There are two approaches possible: somehow calculate the engineer from the week of the year number use a list of assigned weeks per engineer to identify the engineer from I have decided to use a list of assigned weeks per engineer as this opens a very easy way of changing the call distribution in case of e.g. annual leave of one engineer. Dim AssignedWeeks(4) AssignedWeeks(1) = "1,5,9,13,17,21,25,29,33,37,41,45,49" AssignedWeeks(2) = "2,6,10,14,18,22,26,30,34,38,42,46,50" AssignedWeeks(3) = "3,7,11,15,19,23,27,31,35,39,43,47,51" AssignedWeeks(4) = "4,8,12,16,20,24,28,32,36,40,44,48,52" With having that the rest of the implementation is easy. I have implemented a function GetAssignedEngineer which simply returns the extension of an engineer (which are set via rule parameters in the final script). This function gets the week of the year number by the already above mentioned DatePart function and then loops through all 4 engineers if this number is part of their assigned weeks list. Function GetAssignedEngineer PBXScript.OutputTrace "----> GetAssignedEngineer" Dim sReturn sReturn = sDefaultExtenstion Dim nCurrentWeek nCurrentWeek = DatePart("ww", Now) PBXScript.OutputTrace "nCurrentWeek = " & nCurrentWeek Dim i For i = 1 To 4 If IsInAssignedWeeksList(i, nCurrentWeek) Then sReturn = Engineer(i) End If Next GetAssignedEngineer = sReturn PBXScript.OutputTrace "sReturn = " & sReturn PBXScript.OutputTrace "<---- GetAssignedEngineer" End Function To check for each engineer if the current week is in his list of assigned weeks I have implemented a function IsInAssignedWeeksList which splits the above defined list of weeks into an array and then simply loops through this array to see if the current week is in it. Function IsInAssignedWeeksList ( nEngineer, nCurrentWeek ) PBXScript.OutputTrace "----> IsInAssignedWeeksList" PBXScript.OutputTrace "nEngineer = " & nEngineer PBXScript.OutputTrace "nCurrentWeek = " & nCurrentWeek Dim bReturn bReturn = False Dim aWeeks aWeeks = Split(AssignedWeeks(nEngineer), ",") Dim y, nWeek For y = LBound(aWeeks) To UBound(aWeeks) nWeek = CInt(aWeeks(y)) PBXScript.OutputTrace "nWeek = " & nWeek If nWeek = nCurrentWeek Then bReturn = True Next IsInAssignedWeeksList = bReturn PBXScript.OutputTrace "bReturn = " & bReturn PBXScript.OutputTrace "<---- IsInAssignedWeeksList" End Function Please note, that in case the current week can not be found in any of the lists, the function GetAssignedEngineer returns a default destination. This will make sure that if the lists are getting modified and a week will be forgotten to be added, the function will provide a valid destination to connect the call to. The call routing script becomes straight forward with having all the logic implemented in VBScript code: All VBScript code can be found in the Start block. The Insert Script Code block is just used to copy the extensions from each engineer which can be comfortable configured as rule parameters into the VBScript code part of the call routing script. There is also a 5th parameter which defines the default number the call should be delivered to in case a week can't be found in any of the week lists. To connect the call to an engineer the Connect To block directly calls the GetAssignedEngineer function: If the call can't be delivered I have just added a Voicemail option to play it simply here. And this sums the entire call routing up. One might say its overdone, but this is simply my style of call routing scripts, even including tracing information in case one needs to debug the script. You can use the following link to download the script (please note, that you need to be a logged in user of this forum in order to be able to download any file from here): EngineerRotation.rse To use this file simply open a new empty call routing rule with the GSE and the use File | Import... to import the above .rse file. A more complete explanation on how to get call routing functionality from A to B can be found in this blog article: #4: Take me to your leader! In case you want to learn all the details behind the used rule parameters in this script, the following blog article will enlighten you: #6: Make it easy! Enjoy! 17. 20. Hi Moritz, I am not sure that I fully understand the setup. Are you using Visual Groups as queue or any other queue system (e.g. the build in queue in of the call routing)?
  21. From 2009 to 2011 mirjam baumberger wrote a great blog, the "Fridays' Swyx Tip". Every Friday she posted a tip regarding the usage of SwyxWare and connected tools and devices. Please note that some information in this article series might not be valid anymore with current SwyxWare versions. This blog article was originally posted on 15.01.2010 00:54 Dear Swyx Users Did you know that with SwyxWare V 7.0 the SwyxIt! "Call Journal" has been redesigned and offers now an even better overview of all your calls ? The calls are listed on different tabs such as "Caller list", "Redial List" "Missed Calls", "My Callback Requests" and even access to the "Recorded Conversations" is only one mouse click away. The "Call Journal" can be brought up via various options: 1. You can open the Call Journal with the "Call Journal" symbol. 2. if you call up the Call Journal from the "Missed Calls" option on the skin, the missed calls tab will be displayed immediately. The list directly shows important information for the calls and various options are available for handling the calls. For example, a.) you can call a subscriber directly from the lists, b.) send an instant message c.) or send an e-mail to the contact 3. For direct access to your caller list you can also assign a hotkey via the SwyxIt! menu Settings/UserProfile/Keyboard/"All Calls" Have a good weekend and happy Swyxing... Example: \\fileserver\recordings\[trunkname] The default setting uses the path: %APPDATA%\Swyx\Recording\[trunkname] All recordings are then saved locally among the application data of the user account under which SwyxServer is running. The files are saved following: Out#301#Smith, Peter#093775051#20081016#155844.wav This means that an outgoing call from the number "301" to Peter Smith with the number "093775051" was recorded on February 17, 2009 at 15:58:44. All recordings are now saved in these directories. Additionally, one can add a registry key to SwyxServer which then will included the CallID in the recording file name. Add a new value of type "String" with the name "CallRecordingFilenameFormat" to HKEY_LOCAL_MACHINE\SOFTWARE\Swyx\IpPbxSrv\CurrentVersion\Options Set the Value to: [calldirection]#[internaladdress]#[internaladdresscanonical]#[remotename]#[remoteaddress]#[date]#[time]#[callid] The files are then saved following: Out#301#Smith, Peter#093775051#20081016#155844#0000027033.wav Have a good weekend and happy Swyxing...
